The Bottom Line
I've been managing procurement for a mid-sized solar installation and distribution company since 2020—roughly $9 million a year in modules, storage systems, and BOS components across 8 vendors. I report to both operations and finance, which means I live in the space between "get the best price" and "don't create unnecessary risk."
In our 2024 vendor consolidation project, leadership asked me to evaluate a move we'd never seriously considered: selling PV modules under our own private label instead of under the manufacturer's brand. That request turned into a three-month sourcing review covering OEM vs private label, certificates, bankability, and a few surprises I'd rather not repeat.
This checklist is what came out of that review. If you source solar panels for a distributor, installer, or project developer, these are the steps I'd recommend doing in order. Seven of them.
Step 1: Map Your Demand Before You Choose a Sourcing Model
Most buyers start with price comparisons. I start with volume scenarios. The OEM vs private label question is, at its core, a volume question.
Private label means the factory produces a batch of modules with your brand on the frame. That means committing to a production line, a minimum order quantity, and an inventory you can't easily resell through other channels if demand stalls. If you only move a few containers a year, private label probably won't pay off. If you're feeding a steady pipeline of projects, the economics shift.
The first checklist is internal:
- What's your annual module volume forecast, and is it backed by a real sales pipeline?
- How much working capital can you tie up in branded inventory?
- If the market shifts, can you still move that inventory without damaging your brand?
If you can't answer those yet, the rest of this checklist is premature.
Step 2: Understand What OEM vs Private Label Actually Means
"OEM" and "private label" get used interchangeably in the solar industry, and that causes real problems. Here's the distinction I work with:
- OEM modules are manufactured to the factory's own specification and sold under the factory's own brand. When a buyer orders "JinkoSolar solar panels," that's an OEM purchase—the module carries the manufacturer's brand, documentation, and warranty reputation.
- Private label modules are produced on the same lines, but with your brand on the label, box, and spec sheet. In practice, a solar panel private label agreement usually means the factory's existing product platform with your branding on top. The physical module may be nearly identical to a standard product. The commercial difference is yours to own: you take on the customer relationship and, typically, the warranty service experience.
I learned this the way I learn most things—by getting it wrong. I said "we want private label." They heard "print our logo on the standard module." We were using the same words but meaning different things. We discovered this when an installer tried to register a warranty claim against our brand and the factory's registration system had no record of that module model under our name. The modules were fine. The process wasn't.
Step 3: Verify Certifications Before You Talk Price
Every module you source must be certified for the market where it will be installed. For most global markets, that means IEC 61215 and IEC 61730. For the US, UL 61730 applies. A certificate is issued to a specific manufacturer entity, for a specific factory, and for a specific module model. Change any one of those, and the certificate changes.
Don't take the sales rep's word for it. Ask for the actual certificate PDF and check:
- The legal entity on the certificate matches the entity you're contracting with.
- The exact module model is listed.
- The certificate is current, not expired.
- If you're buying private label: the certificate covers your branded model, or the factory explains how certification works for private label runs.
I skipped this once. A manufacturer's sales rep said "all our modules are IEC certified," and I didn't push for the document because we were in a hurry. That was the one time it mattered. The certificate for the model we ordered had expired months earlier, and the project wouldn't accept it. We had to re-source modules under a tighter deadline, and the extra freight ate up every bit of the price advantage that had made the order attractive in the first place.
Step 4: Check Bankability and Map the Warranty Process
A module warranty is a 25-30 year promise. Its value is only as strong as the entity standing behind it. If the manufacturer exits the business in year eight, the warranty is a paperweight.
This is where a manufacturer's public track record matters. JinkoSolar, for example, trades on the NYSE under the ticker JKS. Its quarterly results—including the Q2 2024 earnings release—are public record, which means you can review revenue, shipment volumes, and capacity announcements. Public reporting doesn't guarantee performance, but it gives you a paper trail. Private manufacturers can build excellent panels, but verifying their financial health takes more effort.
While you evaluate financial stability, ask about the warranty service process:
- How do customers actually file a claim?
- What evidence is required, and how long does a claim typically take?
- Who pays freight for returned or replacement modules?
- Does the manufacturer have local warehouses or service partners in your markets?
I still kick myself for not mapping this before signing our first private label agreement. If I'd asked, we would have learned that claims required freight prepaid to the factory—a significant cost when you're shipping modules from a regional warehouse back across an ocean. The clause silently made most small claims uneconomical to file. Our next contract fixed it, but it took an expensive discovery to surface.
Step 5: Pin Down the Spec Sheet With Tolerances
A solar module spec sheet isn't one number. It's a set of ranges and conditions. "550W nominal" is not enough information to evaluate a product.
Get the following in writing, for the exact model you're buying:
- Nominal power output and tolerance (e.g., 0 to +5W)
- First-year degradation rate and annual degradation for years 2-30
- Temperature coefficient of Pmax
- Cell technology: TOPCon, PERC, or other
- Mechanical dimensions, frame, and wind/snow load ratings
- Maximum system voltage and series fuse rating
Two modules with the same nominal wattage can perform differently in a project because of degradation rate or temperature behavior. Comparing these parameters matters more than the marketing number on the datasheet. If a manufacturer publishes datasheets with clear tolerances, that's a good sign—JinkoSolar's Tiger Neo series, for instance, has publicly available datasheets with these specifications documented. Vagueness is a red flag.
Step 6: Run a Pilot Order Before You Scale
The most common sourcing mistake—the one that keeps costing buyers money—is skipping the pilot. The reasoning is always the same: "no time, the price is right, the factory has been around for years." I've made that argument myself.
A pilot order is a verification exercise, not a commercial commitment. Use it to confirm:
- Product quality: frame finish, module appearance, labeling
- Packaging quality, because most transport damage is packaging damage
- Documentation: spec sheets, certificates, packing lists, and invoices all align with the contract
- Branding: if private label, your logo, serial numbers, and box printing match your brand standards
I knew I should run a pilot before committing to a full container from a new supplier, but I thought "what are the odds they mess up the details?" Well, the odds caught up with me. The container arrived, and the module VOC (open-circuit voltage) didn't match the datasheet we had submitted for a commercial permit. The mismatch triggered a paperwork review, delayed the install by a week, and cost us a resubmission fee. A pilot would have caught it, because the pilot carries the same documentation as the full order.
Step 7: Arrange Third-Party Inspection Before Shipment
Pilot orders are often produced carefully because the factory knows it's being evaluated. Commercial runs, especially during peak demand, can be different. Third-party inspection is the standard safeguard.
Independent inspectors—SGS, TÜV Rheinland, Intertek, among others—can check the production batch before the container leaves:
- Visual defects: frame damage, glass scratches, foreign material inclusion
- EL testing on a sample basis to catch microcracks
- Serial number continuity and box labeling
- Packaging and container loading condition
The inspection cost is a small fraction of a container's value. I treat it as a mandatory line item for any order big enough to hurt if something goes wrong.
Notes on Common Mistakes
Three things I'd flag from managing this process, and from conversations with other commercial buyers.
Comparing only the unit price
Solar module prices have moved significantly over the past few years, and the temptation to buy on the lowest per-watt quote is strong. In my experience managing sourcing projects since 2020, the lowest quote has cost us more in about 60% of cases. Not because the product was defective—because the total cost was higher once freight, lead times, documentation gaps, and management time were added up. The per-watt number is an input, not the answer.
Assuming certification coverage transfers between markets
A module certified for Europe isn't necessarily certified for the US. Check the certificate scope for each market you sell into. This sounds basic, but it's exactly the kind of detail that gets skipped at contract stage and paid for later.
Underestimating the private label workload
Private label isn't just a branding exercise. You need your own spec sheets, warranty documentation, serial number traceability, and a customer-facing claims process. In our case, the administrative workload for the private label line ended up more than double the OEM-branded equivalent. It's a different business model, not just a different logo.
The Bottom Line
Whether you source OEM or private label PV modules, the process is the same: verify the manufacturer's credentials, pin down the specifications, run a pilot, and inspect before you scale. The lowest per-watt price is rarely the lowest total cost, and the difference shows up in the parts of the process that don't fit in a spreadsheet.
If you're evaluating JinkoSolar as a supplier, add their investor relations page to your monitoring list. Quarterly earnings, capacity announcements, and storage product updates—all of it gives you a picture of where a manufacturer is heading. For a 25-year warranty decision, that picture is valuable. And if a manufacturer's paperwork is hard to verify, that tells you something too.
