But the serial numbers were already tied to another project. That was the moment I stopped treating solar panel procurement as a quote comparison.
I'm a procurement manager at a mid-sized distributor, and I've managed our module and storage budget for the last six years. Well, five years and a few months, if you count from the first serious RFQ. Since then, I've tracked every quote, invoice, and warranty ticket in a cost model that drives our buying decisions.
This checklist is not for a homeowner comparing one roof. It's for installers, distributors, and project developers who need to protect a margin. If you're buying JinkoSolar solar panels by the pallet or by the megawatt, this is the process I use when I evaluate a PV module supplier.
1. Prove the Channel Before You Talk Price
The first question is not 'what can you deliver?' It's 'will the manufacturer recognize you as a seller?' Anyone can put a JinkoSolar logo on a quote. Not everyone can sell through an approved channel.
What I ask for:
- A current distributor authorization letter
- The seller's JinkoSolar account number or distributor status

If a container comes from a gray-market source, the physical panels may work, but the warranty position can be damaged before you even unload them. 2. The Compliance Stack Is the Hidden Line Item
PV module compliance requirements are not a single certificate. IEC 61215 and IEC 61730 are the baseline for design qualification and safety, but the destination market decides the rest. US projects often require UL 61730. UK installs may need MCS. Australian projects need listing on the CEC approved product list. EU projects need CE marking and sometimes national registry documents.
The question everyone asks is 'is it certified?' The question I should ask is 'does the certificate match this exact model, this exact factory, and this current edition?' I have seen a quote with a certificate that expired the same week the modules landed. Check the document yourself. If the certificate is a photocopy from an old project, that's a red flag.
Whenever possible, I confirm the certification against a public registry instead of the supplier's attachment. For JinkoSolar modules, I also compare the model number in the latest datasheet and warranty terms on the manufacturer's corporate site. The registration status matters more than the 'certified' stamp on the first page.
3. Build a Landed Cost Model, Not a Unit-Price Comparison
Most buyers compare price per watt. Price per watt is a starting point, not the total cost. I compare landed cost per installed watt, and the model includes:
- Module price
- Freight and insurance
- Import duties and customs fees
- Bank charges or letter of credit costs
- Storage and demurrage risk
- Compliance review time
- Cost of capital while modules sit in transit
When I audited our 2023 spending, I found the cheapest unit-price vendor wasn't the cheapest landed-cost vendor once logistics was included. The gap between quoted price and landed cost was enough to make me rebuild the model.
A quote can be lower per watt and still cost you more if the seller can't provide the right documents. The best PV module supplier in a tender is the one that can prove the entire chain from factory to port.
4. Treat Storage as Its Own Procurement Project
If the scope includes a JinkoSolar energy storage system, don't let module pricing set the storage agenda. Five years ago, module OEMs rarely offered a serious storage option. In 2026, integrated systems are a normal part of the conversation. That is a real change in the industry, and it changes the risk profile.
When I evaluate storage, I ask:
- Usable capacity at the end of the warranty period, not just nominal capacity
- Battery warranty throughput in cycles and years
- Whether the inverter is included or optional
- Who provides remote monitoring and firmware updates
- Who manages commissioning and system-level acceptance
Storage is not an accessory. It has more moving parts than the module itself. If the supplier can't answer these in writing, the storage quote is not ready for a signature.
5. Test the Warranty Workflow Before You Need It
Every JinkoSolar solar panel quote includes a warranty datasheet. Most buyers read the years and the wattage guarantee. I go further and ask for a sample claim workflow.
Who do I call? Who pays for removal and shipping? Who decides between repair and replacement? How long before I get an RMA number? The most frustrating part of warranty work is when the contract is clear but the operating procedure is not.
So I ask the solar panel OEM or distributor for the exact process before signing. If they say 'we'll send it later', that tells me the process isn't ready. A 25-year warranty is only useful if the claims path survives the first defect.
Dodged a bullet once when I asked for the factory inspection report after order placement. The report showed a manufacturing location that wasn't approved for the local incentive program. We would have lost thousands in rebates. Now I request the document before I issue the PO.
6. Put the Deal in the Purchase Order
Once the technical checks pass, the commercial terms become the only thing that matters. A quote is a suggestion. A purchase order is a legal record. I make sure the PO includes:
- Exact module model and quantity
- Incoterm, port, and delivery window
- Currency and payment milestones
- Consequences for late delivery
- A condition that all compliance documents arrive with the shipment
- Seller's commitment to warranty registration
Why do I check documents before entering the PO? Because a non-compliant module costs more in delay than any discount can recover. The quote's validity date is also critical. Module prices in 2026 move with trade policy and inventory cycles. If the quote doesn't say when it expires, it isn't a price; it's a conversation.
Three Mistakes I Still See in RFQs
First, buyers treat 'solar panel OEM' and 'seller' as the same thing. A factory warranty is only as strong as the legal entity that signs it and the route you use to claim it. Ask who is responsible before you sign.
Second, they rely on old price lists. The industry has moved faster in the last two years than in the previous five. A price from an old invoice is not a benchmark for a new order.
Third, they skip serial number registration. Registering JinkoSolar modules after delivery is a line item in my workflow. If the serial numbers do not register in the manufacturer's system, you have a counterfeit, gray-market, or documentation problem.
Bottom Line
The fundamentals haven't changed: verify the supplier, verify the module, verify the terms. But the execution has changed.
